Phonebook is a recruiting call-tracking tool built by Football Studio for coaching staffs. This policy explains what information the app collects, how it's used, and the choices you have.
When you create an account, we collect your name, email address, and school affiliation. As you use the app, you enter recruiting data such as player names, positions, current schools, phone numbers, priority levels, and notes, as well as call records (scheduled, completed, or missed) including dates, durations, and notes.
Player and recruit records are entered by coaches, not by the recruits themselves, and are used solely to help coaching staffs organize and track their own outreach. Many recruits tracked in Phonebook are high school student-athletes who may be minors; we treat this data with the same care as any other personal information in the app and it is never used for advertising or sold to third parties.
Ghostwriter lets you record a live call and have it turned into recruiting notes automatically. Only start a recording when every participant has consented to being recorded. The recorded audio is sent securely to our servers, which forward it to OpenAI to generate a transcript and format it into notes; we do not store the audio itself — once the notes are generated, only the resulting text is saved to your board, not the recording.
We collect basic technical information needed to operate the app and diagnose problems — such as device type, OS version, and app crash or error logs. We do not use this information for advertising or behavioral tracking.
We use the information above to provide Phonebook's core features: syncing your calendar and recruiting board across devices, showing call-scheduling suggestions, enabling board sharing between coaches, and troubleshooting issues you report. We do not use your data to serve ads, and we do not sell it.
Player and call data linked to your board is visible only to you and to any coaches you explicitly grant access to via Share My Board — for example, an assistant coach who logs calls on your behalf. All coaches and players are scoped to your school; we do not share your school's data with other schools. We use third-party infrastructure providers solely to store and process data on our behalf, under obligations to protect it, and never for their own independent purposes: Amazon Web Services for cloud hosting, and, only if you use Ghostwriter, OpenAI to transcribe a call recording and format it into notes (see "Call Recording & AI-Generated Notes" above).
We retain your account, player, and call data for as long as your account is active. Deleting a player or call in the app removes it from your board and calendar immediately; the underlying record is retained for a limited period to support recovery and integrity of shared boards, then permanently purged. You can permanently delete your account at any time from Profile > Delete Account, or by contacting us.
We use industry-standard safeguards — including encrypted network transport and access-controlled cloud infrastructure — to protect your information. No system is perfectly secure, and we encourage you to use a strong device passcode and keep your login credentials confidential.
You can review, edit, or delete the players, calls, and notes you've entered at any time from within the app. You can revoke a shared board's access at any time from the Share My Board screen, which immediately removes that coach's ability to view or edit your data. You can permanently delete your account from Profile > Delete Account, and you may also request a copy of your data by contacting us below.
Phonebook is intended for use by coaching staff members who are adults; it is not directed at children, and accounts are not created by or for children. Recruit records that coaches enter about student-athletes are handled as described above under "Information About Recruits."
If we make material changes to this policy, we'll update the "Last updated" date above and, where appropriate, notify you in the app.
